Never send patient information.
Not in an email, not in an attachment. That includes:
- names, dates of birth, record numbers or anything else that identifies a patient;
- screenshots of charts, notes or your EHR;
- recordings, transcripts or text you dictated;
- screenshots of Saybox’s Dictionary, Prepared Phrases, Recent Dictation or Security events.
If something you send has patient information in it, we stop reading it, delete it the same day we notice it (unless the law requires us to keep it, we must first get a lawyer’s advice, or you may need it to identify the patients; then we keep it locked away until we can delete it), and tell you within 2 business days. Then please describe the problem again without it.
What to send
- What happened, in your own words. Leave out patient details. Tell us what you did, what you expected, and what Saybox did instead. If an example helps, make one up, such as “Patient: Jane Example”, or just say “a patient”.
- Your versions: Saybox’s (Settings › About Saybox) and macOS’s (Apple menu › About This Mac).
- A screenshot, if it helps, of Saybox’s Settings › General, Settings › Microphone or its Devices section, with no other window visible.
How we help
Write to support@saybox.app. We aim to reply within 2 business days.
There’s no phone support, screen sharing or remote control. We will never ask to connect to your Mac or to see your screen, and we will never ask for patient information. If someone claiming to be us does, it isn’t us.
Common questions
Saybox isn’t typing into my app.
Saybox needs Accessibility permission to type at your cursor. Open System Settings › Privacy & Security › Accessibility and turn on Saybox. Without it, your dictation goes to the clipboard for you to paste.
Saybox doesn’t hear me.
Saybox’s Settings › Microphone shows whether microphone access is allowed. If it isn’t, click Allow, or turn on Saybox in System Settings › Privacy & Security › Microphone. Also check the input device in System Settings › Sound › Input.
“Delete that” was typed as words.
Spoken commands can be switched off in Settings › AI & Formatting; check that they’re on. Saybox also leaves the words alone when they’re part of a sentence, such as “delete that file”.
The text in the Saybox Text Box disappeared.
The Text Box keeps text in memory only. It’s erased 60 seconds after you close the box (reopen it within 60 seconds to keep it) and when Saybox quits. Copy text out before you close it.
My iPhone won’t connect.
Both devices need to be on the same network, with Local Network allowed for Saybox Mic, and for Saybox on the Mac if macOS asked. The Mac must be unlocked, and Saybox Mic must stay on screen while you dictate.
Still stuck? Unpair in Settings › Microphone › Devices and pair again.
I lost my iPhone.
On your Mac, open Settings › Microphone › Devices and choose Unpair. The iPhone is cut off at once and can’t dictate to your Mac again.
Is Saybox “HIPAA compliant”?
No software is HIPAA compliant on its own, and the Department of Health and Human Services doesn’t certify any product as HIPAA compliant. HIPAA applies to organizations, such as health care practices and the businesses that handle patient information for them. Saybox is designed so that we never receive patient information. Your practice remains responsible for its own risk analysis, its devices and the apps that receive your notes, and we remain responsible for our own duties, including under any Business Associate Agreement we have with your practice. Our Privacy and Security pages explain exactly what Saybox does.
Check with your clinic’s privacy or security officer before using Saybox with patient information. If your practice needs a Business Associate Agreement, write to privacy@saybox.app.
